How to Get My Resume Past ATS Software

Many mid-level professionals find their resumes disappearing into a black hole after applying for jobs, often without ever receiving a rejection notice. The culprit is frequently the Applicant Tracking System (ATS), a software program designed to filter and rank resumes before they reach human eyes. Understanding how to get my resume past ATS is no longer optional; it's a fundamental requirement for securing interviews in today's job market, ensuring your qualifications are seen and not automatically discarded.

What is ATS and Why Does it Matter for Your Job Search?

An Applicant Tracking System (ATS) is software used by employers to manage and filter job applications. It scans resumes for keywords, formatting, and relevance to the job description, effectively acting as a digital gatekeeper before a human recruiter ever sees your application. If your resume isn't optimized for these systems, it risks being silently rejected, regardless of your experience.

ATS software parses resumes by breaking them down into searchable data fields, identifying sections like Work ExperienceEducationSkills

This automated screening process significantly impacts job seekers. Jobscan reports that 75% of resumes are rejected by ATS before reaching a human recruiter. This isn't about your qualifications but about the resume's machine-readability and keyword alignment. Different ATS systems, like Workday, Greenhouse, Taleo, and Lever, have varying parsing capabilities, but all prioritize clear, structured data.

Mastering ATS-Friendly Resume Formatting: The Do's and Don'ts

To ensure your resume is ATS-friendly, prioritize a clean, simple layout with standard section headings, avoid complex graphics, tables, or text boxes, and use common, readable fonts. Consistency in formatting and a logical flow are crucial for successful parsing, allowing the ATS to accurately extract your valuable experience.

Use standard section headings that ATS systems are programmed to recognize. For instance, Work ExperienceProfessional ExperienceMy Career JourneyWhere I've Made an Impact, as these can cause the ATS to misinterpret or skip entire sections of your resume. Similarly, for skills, use SkillsCore Competencies.

Graphics, tables, and text boxes are almost always problematic. ATS software struggles to read content embedded in these elements, often skipping it entirely or misinterpreting it. This means your carefully crafted achievements or contact information might never be seen. Stick to plain text and standard bullet points.

⚠️ Warning: Never put critical information, like your contact details, inside a header or footer. Many ATS systems cannot reliably parse these areas, making it impossible for recruiters to reach you.

For fonts, choose professional, widely available options like Arial, Calibri, Helvetica, or Times New Roman. These are universally recognized and prevent rendering issues. Avoid highly stylized or obscure fonts that might not be installed on the ATS server, which could lead to garbled text. Font sizes should be readable: 10-12pt for body text, 14-16pt for headings.

Regarding file format, always follow the job posting's instructions. If it specifies PDF, use PDF. If it requests DOCX, use DOCX. If no preference is stated, DOCX is generally safer as it's highly parsable by most ATS, especially older versions. Some ATS can struggle with parsing complex PDFs, particularly if they are image-based or use non-standard fonts, potentially leading to errors. Utilizing a tool like our resume builder ensures your document is structurally sound and follows best practices for ATS compatibility from the ground up.

Before and After: A Formatting Example

Consider a common mistake: using a text box for a Skills section. An ATS might completely miss these skills, even if they are critical keywords. Instead, list them using simple bullet points or comma-separated text within a standard section.

Before (ATS-Unfriendly):

Skills
[Text Box]
• Project Management
• Data Analysis
• Strategic Planning

After (ATS-Friendly):

Skills
Project Management, Data Analysis, Strategic Planning, Agile Methodologies, Stakeholder Communication

This seemingly minor change ensures the ATS can easily parse and match your skills against the job description, significantly improving your ATS resume parsing

Keyword Optimization: How to Speak the ATS Language

Keyword optimization involves strategically incorporating relevant terms from the job description into your resume. This includes hard skills, soft skills, industry jargon, and specific job titles. The goal is to match the job posting's language without 'keyword stuffing,' ensuring your resume passes initial ATS scans.

Recruiters use ATS to find candidates who possess specific skills and experience directly related to the job. These are extracted from the job description itself. Your primary task is to identify these job description keywords resume requires and integrate them naturally into your document. Look for repeated terms, required qualifications, and responsibilities.

To effectively identify keywords, read the job description multiple times. Create a list of all technical skills, software proficiencies, certifications, industry terms, and even soft skills mentioned. Pay attention to variations in terminology; if the job description mentions Project ManagementPMP Certification if you have it, or Project Planning

Integrate these keywords throughout your resume, not just in a dedicated skills section. Weave them into your professional summary, your experience bullet points, and your education details. For example, instead of Managed teamsLed cross-functional teams using Agile methodologies to deliver software projects on time and within budget. This demonstrates skill application.

🧠 Expert Insight: Keyword stuffing—simply listing every keyword you find—is detrimental. While it might trick some basic ATS, it makes your resume unreadable for human recruiters and can flag you as unprofessional. Focus on natural integration that demonstrates competence.

The key is keyword matching job description. For every application, you should be tailoring your resume. This is time-consuming but essential. A generic resume, no matter how impressive, will rarely pass the ATS for a specific role. Think of it as speaking the specific dialect of the hiring company for that particular position.

Strategies for Keyword Integration

1. Analyze the Job Description: Highlight or list all relevant keywords, including hard skills, soft skills, tools, and industry jargon. Consider both explicit and implicit requirements.

2. Professional Summary: Incorporate 3-5 top keywords here to immediately signal relevance. This section is often heavily weighted by ATS.

3. Experience Section: Use action verbs followed by keywords within your bullet points. Describe how you applied the skill, not just that you possess it.

4. Skills Section: List both technical and soft skills. Be specific (e.g., 'SQL', 'Python', 'CRM Software: Salesforce'). Break down broad categories into specific competencies.

5. Education/Certifications: Include relevant degrees, certifications, and any coursework that aligns with job requirements and uses keywords.

This systematic approach to resume keyword optimization ensures your resume is not only parsable but also highly relevant to the role.

The Role of AI Tools and Resume Scanners in Your ATS Strategy

AI resume scanners and online tools can help you assess your resume's ATS compatibility by providing a match score against a job description. While useful for identifying gaps and areas for improvement, they are not a substitute for human review and strategic content creation, as their accuracy can vary.

These AI resume scanners effectiveness stems from their ability to mimic an ATS, comparing your resume's content to a given job description and highlighting areas where you lack keywords or have formatting issues. They can provide a percentage match score, giving you an objective measure of your resume's readiness. Think of them as a diagnostic tool, not a magic bullet.

Do AI resume scanners really work? Yes, to a degree. They are excellent for identifying obvious keyword gaps and formatting inconsistencies that would cause an ATS to reject your application. However, they can't fully replicate the nuanced understanding of a human recruiter. They might miss context or the implied skills that a human would infer from your descriptions. They also can't evaluate the quality or impact of your achievements in the same way a person can.

💡 Tip: Use AI scanners to get your foot in the door, but remember that a human will eventually read your resume. Ensure it makes sense, is compelling, and highlights your unique value, not just keywords.

Ethical considerations surrounding AI in job applications are also emerging. While using an AI resume builder to match job description or AI cover letter generator from job description can save time, relying solely on AI without human oversight can lead to generic applications lacking personal touch. Recruiters often detect this lack of genuine interest or unique experience. Your voice and specific examples are irreplaceable.

Quantify Your Achievements: Making Your Resume Stand Out to ATS and Humans

Quantifying your achievements means using numbers, percentages, and metrics to demonstrate the impact of your work. This not only provides concrete evidence of your capabilities for human recruiters but also often includes keywords and measurable outcomes that ATS systems are programmed to identify and prioritize.

For human recruiters, quantified achievements provide tangible proof of your value and impact. Instead of vague statements, they see specific contributions. For ATS, numbers and metrics often coincide with critical keywords (e.g., 'increased sales by 15%', 'managed budget of $2M', 'reduced churn by 10%'). These concrete data points are easily parsed and ranked for relevance, helping how to get resume noticed.

Many mid-level professionals struggle to quantify their work, especially in roles not directly tied to sales or finance. However, every role has metrics. Think about: time saved, efficiency gained, errors reduced, projects completed, customer satisfaction scores, team size managed, training sessions led, process improvements implemented, or even the scope of your responsibilities. Even if you don't have exact figures, estimate reasonably.

✅ Best Practice: Turn every bullet point into an accomplishment statement that starts with a strong action verb and includes a quantifiable result. This structure is highly effective for both ATS and human readers.

Consider this example for a Marketing Manager:

• Weak: Managed social media campaigns and created content.

• Strong: Developed and executed comprehensive social media strategy across 3 platforms, increasing engagement by 40% and generating 15% more qualified leads within 6 months.

The strong example uses specific numbers, action verbs, and relevant keywords like social media strategy, engagement, and qualified leads. This makes it highly effective for both the ATS and the hiring manager.

Beyond the Resume: Complementary Strategies for Job Search Success

While an ATS-friendly resume is foundational, a holistic job search strategy includes optimizing your LinkedIn profile, crafting tailored cover letters, and preparing for interviews. These elements work together to present a consistent and compelling professional narrative that resonates with both automated systems and human decision-makers.

Your LinkedIn profile is often the next stop for recruiters after reviewing your resume. Ensure it mirrors your resume's key achievements and keywords, maintaining a consistent professional brand. LinkedIn reports that 87% of recruiters use their platform to find or vet candidates. Placed offers LinkedIn Optimization services to help you make the most of this powerful platform.

Even if an AI cover letter generator can provide a starting point, remember the importance of crafting tailored cover letters. A generic cover letter, regardless of how it's generated, will fail to impress. Personalize it to each company and role, highlighting specific reasons for your interest and how your unique skills align. Even with AI assistance, the final touch must come from you, ensuring authenticity and resonance. Placed's Cover Letter Builder can help you structure and refine these essential documents.

Once your optimized resume and cover letter get you past the ATS and into the interview stage, your preparation shifts. Interview preparation is crucial. This involves researching the company, practicing common interview questions, and preparing thoughtful questions to ask. Passing the ATS is just the first hurdle; performing well in interviews is the next step to securing the job.

Common Resume Mistakes to Avoid

• Not Tailoring: Submitting a generic resume for every application is a guaranteed way to fail ATS scans. Each job requires a unique keyword strategy.

• Keyword Stuffing: Overloading your resume with keywords in an unnatural way will be caught by human eyes and can make your application seem disingenuous.

• Complex Formatting: As discussed, fancy layouts, graphics, and tables are ATS killers. Keep it simple and clean.

• Errors and Typos: Even a perfectly optimized resume can be dismissed by a human recruiter for simple spelling or grammatical errors. Proofread meticulously.

• Irrelevant Information: Include only experience and skills pertinent to the job. ATS and recruiters are looking for focus, not a career biography.

By addressing these common pitfalls, you significantly improve your job application success rates. Your resume is your marketing document, and it needs to be optimized for both the automated gatekeepers and the human decision-makers.

Mastering the ATS is a critical step in your job search. By understanding how these systems work and diligently optimizing your resume for each application, you dramatically increase your chances of getting noticed by hiring managers. Don't let technology be a barrier; let it be a tool that propels your career forward. Frequently Asked Questions

What is an Applicant Tracking System (ATS)?

An Applicant Tracking System (ATS) is software employers use to manage job applications. It scans, filters, and ranks resumes based on keywords, formatting, and relevance to the job description. Its primary function is to streamline the hiring process by reducing the volume of applications human recruiters need to review, acting as a digital gatekeeper for initial candidate screening.

How do I make my resume ATS-friendly?

To make your resume ATS-friendly, use a clean, uncluttered layout, standard section headings (e.g., 'Work Experience' instead of 'My Journey'), and common fonts. Avoid graphics, tables, and text boxes that can confuse parsing software. Crucially, tailor your resume's content and keywords to each specific job description, ensuring a high match score with the role's requirements.

What are the best fonts for an ATS resume?

The best fonts for an ATS resume are professional, widely available, and highly readable. These include sans-serif fonts like Arial, Calibri, Helvetica, and Verdana, as well as serif fonts like Georgia and Times New Roman. These fonts are typically pre-installed on most systems, ensuring consistent rendering and preventing parsing errors by ATS software.

Should I use PDF or DOCX for my resume?

The best file format depends on the employer's instructions. If the job posting specifies PDF, use it. Otherwise, DOCX (Microsoft Word) is generally safer because it's highly parsable by most ATS systems. PDFs can sometimes cause parsing errors with older or less sophisticated ATS, especially if they contain complex formatting or are image-based. Always prioritize the format requested in the job description.

How do I find keywords for my resume?

To find keywords, carefully read the job description for the specific role you're applying for. Pay close attention to required skills, qualifications, responsibilities, and industry-specific terminology. Identify nouns, verbs, and phrases that appear frequently or seem critical to the role. Incorporate these terms naturally throughout your resume, especially in your summary, experience, and skills sections. Tools like Placed's AI Resume Review can also help identify missing keywords.

Do AI resume checkers actually help?

AI resume checkers and ATS scoring tools can be highly beneficial. They provide an objective assessment of how well your resume aligns with a specific job description, highlighting missing keywords, formatting issues, and areas for improvement. While not infallible, they offer valuable insights to increase your resume's chances of passing the initial ATS scan. Use them as a diagnostic tool, not a definitive judgment.

Can ATS read graphics and tables on a resume?

Most Applicant Tracking Systems struggle to accurately read and parse information contained within graphics, tables, text boxes, and complex visual elements. The content in these formats is often ignored or scrambled, leading to critical information being missed. It's a common mistake to use these elements; stick to plain text and simple bullet points for optimal ATS parsing.

How can I quantify my achievements on a resume?

Quantifying achievements means using numbers, percentages, and specific metrics to demonstrate the impact of your work. Instead of saying 'Managed projects,' say 'Managed 10+ projects simultaneously, delivering 95% on time and under budget.' Think about the 'how much,' 'how many,' 'by what percentage,' or 'in what timeframe' for each accomplishment. This makes your contributions concrete and impressive to both ATS and human reviewers.

What are common resume mistakes to avoid for ATS?

Common ATS resume mistakes include using complex formatting (graphics, tables, text boxes), non-standard section headings, keyword stuffing, placing contact information in headers/footers, and using image-based PDFs. Another frequent error is failing to tailor the resume to each specific job description, which results in a low keyword match score and automatic rejection.

Is it okay to use an AI cover letter generator?

Using an AI cover letter generator can be a good starting point to overcome writer's block or quickly draft a structure. However, it's crucial to heavily edit and personalize the output. AI-generated letters often lack the genuine voice, specific anecdotes, and deep understanding of the company that human recruiters look for. Treat AI as an assistant, not a replacement for your unique perspective.

How does ATS affect my job application?

ATS significantly affects your job application by acting as the first filter. If your resume isn't optimized for the system, it may be rejected before a human ever sees it, regardless of your qualifications. It prioritizes resumes that closely match the job description's keywords and adhere to standard formatting. Understanding ATS is therefore critical to simply getting your foot in the door.

What are standard resume section headings for ATS?

Standard ATS-friendly resume section headings include: 'Contact Information,' 'Summary' or 'Professional Summary,' 'Work Experience' or 'Professional Experience,' 'Education,' 'Skills' or 'Core Competencies,' 'Projects,' and 'Certifications.' Avoid creative or unusual headings like 'My Journey' or 'What I Bring to the Table,' as ATS may not recognize them and could fail to parse the associated content.
